AI EMPLOYEE · FOR A HOUSING MANAGEMENT COMPANY

The same question, twenty times in one evening.
The dispatcher is no longer interrupted.

Telegram, WhatsApp, VK, MAX and email. It takes the same question about outages, dates and tariffs off the control room, sends a digest of enquiries by building as a table, and remembers past enquiries for an address itself. Round the clock and on your own server.

The line we won't cross

It is not an emergency service

A pipe has burst — it does not drive out, does not shut off the riser and does not replace the duty officer. It takes the message, asks for the things without which nobody can set out — the address, the entrance, the floor, what exactly has happened — and calls a person in.

We put this on the second screen, not in a footnote before the price. On the other industry pages the cost of a misunderstood boundary is a lost client. Here it is a flooded stairwell, and you should run into it before the checkout, not at four in the morning.

Where the control room's day and night go

08:10
the calls missed overnight
11:30
a scheduled outage
19:40
the building's chat with no answer
03:20
“we're flooded!!” with no address

Forty buildings and one controller. While he explains the hot water to the twentieth caller, the thirtieth rings, and in the group chat the neighbours have already agreed among themselves that it is time to change the management company.

One unhappy building costs more than a month of the agent

250 000 ₽
The building went to another management company

The monthly maintenance fee for one building in the example. A residents’ meeting isn’t called over a pipe — it is called because nobody answers questions for weeks.

16 600 ₽
Instance, one month

When billed annually and on your own server. The price is per instance, not per building and not per resident.

One building that stays with you covers it

After that the agent runs at a profit. How many buildings you put on it doesn’t change the price.

Three jobs, and the tenant only sees one

Reply to the tenant — is the most noticeable thing an agent does. But this is not what eats up the control room’s day: the queue of applications, where the delay is first noticed by the one who submitted it, and the last week of the month, when they go to get the readings manually. He takes on both jobs and brings them already disassembled.

Today

The tenant is the first to notice the delay

The application has been pending for the sixth day, the contractor has not arrived, and they find out about this from the general chat of the house, and not from the program.

With the agent

In the morning it shows the queue in its entirety: what is open, for which house and how many days — has been hanging for reading applications from residents in Domyland.

Readings are taken manually

The last week of the month is spent crawling chats, and the silent ones are then counted according to the — standard and get a scandal.

3Answer

Today

The same question — twenty times during the evening

While the dispatcher is explaining to the twentieth about hot water, the thirtieth calls, and the neighbors in the chat are already deciding to change the company.

With the agent

Answers according to the regulations of the house about which they asked: deadlines for work, tariffs, reception hours, who is responsible for what.

What else stops waking the dispatch desk

Answers in the evening and at night

In the hours when nobody in the control room picks up.

Knows the works schedule

What is switched off, at which building and until what date.

Collects the gist into one line

Address, entrance, floor, what is leaking, whether the riser is shut off.

Doesn't make up

What is not in your materials it says so, rather than composing it.

Calls a person in

It hands over the whole conversation: the duty officer reads one line, not forty replies.

It does not calculate charges

It cannot see the account ledger: for a calculation — to the accounts office.

What it doesn't do

  • It does not deal with the emergency. It does not drive out, does not shut off the riser, does not send a team and does not stand in for the duty officer. Its work is to make sure that at three in the morning the duty officer has an address, an entrance, a floor and the gist, not “we're flooded!!”.
  • You keep the register, not him. Through Domyland, he READS the queue of applications from residents and shows it with a summary: what is open, for which house, how many days it has been hanging. He does not issue numbers and does not move statuses for the dispatcher. — The decision on the application remains with the person. We are working on a connection with GIS ZhKH.
  • It does not calculate charges. It cannot see the account ledger, does not issue bills and does not do recalculations. It explains what the sum is made up of, from your tariffs — and a particular flat is calculated by your accounts office.
  • It does not count votes at an owners' meeting and does not accept ballots: that is a legally significant act. About the agenda, the place, the deadlines and the voting procedure — it answers.

Questions

Will it replace the controller?

No, and that is not a footnote in small print. It takes off the control room what repeats itself: works dates, tariffs, opening hours, “who do I call”, “by what date”. An emergency is handled by a person — the agent only collects the details. After that the controller deals with emergencies rather than with the twentieth explanation about hot water.

What happens to a message about an emergency?

It answers at once and first of all sends the person to ring the emergency service — it takes that number from your own materials. Then it pulls out of the panic what nobody can set out without: the building and the entrance, the floor, what exactly is leaking, whether the riser has been shut off, whether the neighbours have water coming in. It repeats what it has collected in one line in the same conversation, and the duty officer opens the whole of it. You send the team — but not from nothing at three in the morning.

What is the file it sends?

Table — CSV or XLSX: home, subject of the request, number of times asked, when was the last time. This is a collection of CORRESPONDENCE. The queue of applications from Domyland, it shows separately — its fields there: what is open, for which house and how many days it has been hanging. The file is sent as an attachment to the chat —; the manager does not need to ask anyone for a report.

What exactly does it remember about an address?

The correspondence: what was asked about this building and entrance, what you answered, when it was. A resident does not have to retell the story from the spring, and the duty officer can see that this riser has been reported before. It cannot see your database or your building cards — only what you gave it and what was said in the conversation.

We have forty buildings with different tariffs and contractors — will it mix them up?

Describe each building separately: the address, the tariff, who services it, the works schedule, the phone numbers. It answers about the building it is asked about, and if the conversation does not make clear which one, it asks for the address rather than guessing.

Does it collect meter readings?

It takes them as a message and reads the numbers back, so that “41205” does not turn into “41250”. But you are the one who carries the numbers into the billing base: by themselves they go nowhere from the conversation.

And will that reach our accounting program?

Domyland is connected by the catalog module, and the agent READS from it the queue of residents’ applications and instrument accounting: what is open, for which house, how many days it has been hanging, who has not submitted the readings. In this case, you maintain the register: it does not issue numbers and does not move statuses for the dispatcher. We are working on a connection with GIS ZhKH.

Will it explain to a resident why their bill has gone up?

It will explain WHAT the sum is made up of: which tariff applies from which date, how communal-area usage is calculated, what building maintenance covers, where to go for a recalculation. It cannot see your account ledger and does not calculate charges — for a particular figure it will send them to the accounts office and give the opening hours.

Where does it get the dates, tariffs and phone numbers?

You upload your materials once: the schedule of planned works, the tariffs and the dates they apply from, the procedures, the areas of responsibility, the emergency and contractor phone numbers, the opening hours. What is not there it does not invent: it tells the resident outright that it has no such answer.

Does it answer where residents write?

Yes. Telegram, WhatsApp, VK, MAX and email are included in the Business plan. All conversations come together in one window — you do not need five apps and fifty conversations open.

Where are the conversations and residents' addresses stored?

Business installs on YOUR server: the correspondence, the addresses, the flat numbers and the phone numbers stay inside your perimeter and never travel to someone else's cloud. What to do with that perimeter next is for your lawyer and your system administrator to decide, not for us.

What does it cost?

RUB 19,900 per month per instance or RUB 199,000 per year. The price is per instance, not per building and not per resident.

Can I see it before paying?

There is a demo sandbox with no sign-up — login and password below, ask it about anything. This plan has no trial period: it installs on your own server. The free Community edition installs there too — it shows how the product works without a single payment.

This is one industry of many

The same agent answers next door: a rental portfolio manager across all twenty apartments, a short-let host explaining check-in to a guest, a crew sending the spec as a file. Same mechanics, different reasons to write.
